Microsoft 365 — How much does it cost per user per month?
The cost of Microsoft 365 for an SME is straightforward: a rate per user per month, broken down into two blocks. On one side, Microsoft licences (Microsoft's official price based on the chosen plan). On the other, Jump Online's support package, which includes maintenance, security, backup and direct support. On this page, we give you the ballpark figures for both blocks so you can quickly estimate your budget. For an exact calculation tailored to your situation, our 30-minute audit is free.
Block 1 — Microsoft Licences (official per-user price)
Microsoft offers three plans for SMEs. These are ballpark figures in CHF per user per month, excl. VAT, based on Microsoft's public pricing and CSP partner conditions.
approx. CHF 8 to 10 / user / month
- Full desktop Office applications (Word, Excel, PowerPoint)
- Exchange Online email (2 GB per user)
- Microsoft Teams for collaboration
- Power Apps and Power Automate included
- Windows 11 Enterprise
For whom : Frontline and field profiles — construction sites, workshops, shops, reception. They need Office applications and Teams but use little email and don't need 50 GB of email storage.
approx. CHF 12.50 to 14 / user / month
- Professional Exchange Online email (50 GB per user)
- 1 TB OneDrive storage per user
- Office installed on workstations (Word, Excel, PowerPoint, Outlook)
- Office on tablet and smartphone
- Microsoft Teams for collaboration
For whom : The vast majority of SME employees. This is the default plan for anyone who uses Office and email daily on their workstation.
approx. CHF 17 to 22 / user / month
- Everything in Business Standard
- Microsoft Defender for Business (advanced threat protection)
- Microsoft Intune (secure device management)
- Microsoft Entra ID Premium (formerly Azure AD)
- Conditional access policies
For whom : Sensitive or mobile profiles — management, accounting, HR, sales, anyone handling confidential data or connecting from outside. Recommended as soon as an SME has client or financial data to protect.
Block 2 — Jump Online Support (per user per month)
This is where we come in. Our package includes everything that's not in the Microsoft licences: maintenance, additional security, backups and daily support.
approx. CHF 14 to 16 / user / month
- Microsoft 365 Tenant management (administration of your environment)
- Preventive and automatic maintenance
- Continuous monitoring (Acronis agent, PC updates)
- User support for web applications (Outlook, Teams, etc.)
- Direct access to our support centre
- Cloud backup monitoring
For whom : SMEs with a relatively autonomous team that just needs a safety net and a point of contact when problems arise.
approx. CHF 28 to 32 / user / month
- Everything in BASIC
- Proactive administration of your Microsoft 365 Tenant
- Extended daily support (Outlook, Teams, Office applications)
- Mailbox creation/deletion, technical mailbox management, access management
- External cloud backup monitoring (M365 Backup)
- Storage and shared mailbox management
- Structured SLA: response within 30 business minutes, resolution within 1h for critical incidents
For whom : SMEs that truly want to delegate their IT and have a complete service, without worrying about maintenance.
A few add-ons that are also calculated per user:
Independent backup of your emails, files, Teams and SharePoint with long retention and granular restore. Recommended for all SMEs (Microsoft does not back up your data by default).
Centralised, secure management of workstations and mobile devices. Recommended for mobile users or company-owned devices.
Enhanced protection against viruses, ransomware, phishing and spam, with 24/7 monitoring and team training through awareness mini-quizzes.
Let's do the maths — example of a Standard user
These ballpark figures let you quickly estimate your monthly budget. For a mixed SME of 9 people (5 Standard profiles and 4 Premium profiles), the all-inclusive monthly budget would be around CHF 445 / month, or approximately CHF 5,300/year. Plus the initial onboarding (migration, configuration, training), which is a one-off investment.
What's added once at startup
The initial migration is a one-off investment that's done once and lasts. The scope depends on the size of your team and the complexity of your current environment. Our initial intervention includes:
- Analysis of your current environment and your needs
- Creation of users, groups and shared mailboxes
- Migration of your emails from your old system (without interruption)
- SharePoint configuration and file migration
- Workstation setup
- User support during go-live
- Complete documentation of your environment
Ballpark: expect a few days to one to two weeks of work at Jump Online's day rate. For a 9-person SME, the initial investment is generally around CHF 5,000 to CHF 8,000 depending on complexity. It's the equivalent of a few months' subscription, but it's a one-off expense that lays clean foundations for years to come.
Why this level of detail (and not a fixed price grid)?
Because ballpark figures let you quickly estimate your budget, but every SME is different. The profile mix, your current environment, your required security level, the complexity of your migration — all of that changes the final equation. Giving you a fixed price to the nearest CHF on a web page would either be overcharging or underestimating. The free 30-minute audit turns these ballpark figures into precise numbers tailored to your situation.
